Tile Farm Privacy Policy for Parents & Educators

This Privacy Policy explains how Tile Farm Inc. (“Tile Farm,” “we,” or “us”) collects, uses, discloses, and safeguards personal information when you use our websites, apps, and other online services (the “Services”). This policy specifically covers users who are parents, guardians, educators, and other non-student individuals. For student data, please see our [Student Privacy Policy].

Tile Farm is committed to protecting the privacy of children and complying with the Children’s Online Privacy Protection Act (COPPA) and the Family Educational Rights and Privacy Act (FERPA). We collect student data only to support educational purposes and never for commercial use.

Information We Collect

User Accounts
We offer three account types:

  • Students: Children using the learning tools and Games
  • Parents: Adults managing or monitoring Student accounts
  • Educators: Teachers and school staff linking and managing student learning

When a user accesses our website or downloads our app, they are asked to identify themselves as either a Student, Parent, or Educator. Students are guided to create an account or log in to begin engaging with the learning activities. Parents and Educators are provided options to create accounts that can later be connected to Student profiles.

Student accounts can be associated with one or more Parent or Educator accounts to support an ongoing learning experience across home and school environments. Linked Parents and Educators have access to the activity data within that Student account, including engagement both inside and outside the classroom.

More details on account roles and permissions are outlined in our Terms of Use. We may also derive insights based on the information we collect.

Information Provided by You:
We may collect information such as name, email, address, telephone number, city, district, school, grade level, curriculum, and type of learning environment when a Parent or Educator creates an account. Payment information for memberships is handled by secure third-party processors (e.g., Stripe); Tile Farm does not store credit card data.

Device & Usage Data:
We collect technical information (e.g., browser type, IP address, device ID) and interaction data (e.g., pages visited, buttons clicked) using cookies and similar technologies. This helps us understand how users interact with our Services, personalize content, and improve usability.

We gather data about how you arrive at, navigate, and interact with our Services—such as which pages you view, which links you follow, how often you return, and whether you engage with emails we send (like opening messages or clicking links). We also collect approximate location information, such as state or region inferred from your IP address, to help tailor content, suggest relevant curriculum alignment, and improve our offerings for different regions.

Analytics partners (e.g., Google Analytics) help us understand user behavior, measure traffic patterns, and analyze usage trends. Additionally, third-party advertising providers may collect data from areas of the Services not directed at Student Users. This information may be used to display interest-based advertising to Parents and Educators on external websites and help evaluate the effectiveness of our promotional campaigns.

We and our service providers use this information to enhance the experience on our platform, optimize educational content, and deliver relevant communications and advertising to adult users of the Services.

Third-Party Sources:
In some cases, we may receive additional information about you or your use of the Services from external sources, such as partners who support account access and performance monitoring. These may include single sign-on services, hosting platforms, analytics providers, or advertising networks.

If you access the Services using a third-party platform, or authorize integration with one, you may be permitting us to retrieve certain information from that platform. The type of information shared depends on your privacy settings with that service and its own privacy policy. You are responsible for reviewing and adjusting those settings as needed.

By using third-party tools to interact with our Services, you agree that Tile Farm may collect, store, and use that information in line with this Privacy Policy. Please note that data shared with us from external sources remains subject to the privacy practices of those third parties.
We may receive data from service providers, analytics tools, or platforms you use to access the Services. These sources are required to follow our contractual privacy and security commitments.

Data Security

Tile Farm protects user information through a combination of physical, administrative, and technological safeguards designed to prevent unauthorized access, disclosure, or misuse. Our systems are built to limit access to sensitive data only to personnel who require it for legitimate operational purposes.

We use Secure Socket Layer (SSL) encryption to protect data in transit, and employ encryption at rest to secure stored information. Additional protective measures include firewalls, multi-factor authentication for staff with elevated access, and strict controls on physical access to systems.

User credentials are required to access student accounts. We recommend that all users choose strong, unique passwords, limit access to shared devices, and sign out after each session to help keep accounts secure.

Internally, we maintain detailed security protocols that guide how staff handle data across its lifecycle. This includes documented roles and responsibilities, protocols for managing privacy inquiries, and procedures for data retention and disposal. Our goal is to uphold user trust by continually strengthening the integrity and security of our systems.

Data Retention

Information collected through the Services may be transferred to, stored in, and processed within the United States, Canada, or other jurisdictions where Tile Farm, its affiliates, or its service providers operate. These locations may not offer the same level of data protection as your home region. In such cases, your information may be subject to the laws of those jurisdictions, including access by government, regulatory, or law enforcement authorities.

We retain personal information for as long as necessary to maintain our relationship with you and provide Services effectively. If an account becomes inactive for a prolonged period, we reserve the right to delete the account and its associated data. In some cases, we may continue to store information after our relationship ends, as needed to comply with legal obligations, resolve disputes, or defend against potential claims.

Changes to This Policy

We may revise this Privacy Policy from time to time. When we do, we will update the “Last Modified” date and post the revised version on this page. If any changes significantly affect how we handle your personal information, we will take additional steps to notify you—for example, by displaying a prominent notice within our Services or contacting you directly where appropriate.

If a revision materially alters how we use or share personal information previously collected, we will provide you with an opportunity to review and, where legally required, consent to those changes before they are applied.

Lawful Bases for Processing Personal Data:

  2. You have consented to this collection and processing for a specific purpose;
  3. It is necessary to fulfil our contractual obligations; or
  4. It is necessary to comply with a legal obligation.

Where we rely on your consent to process your personal data, you have the right to withdraw or decline consent at any time. If you wish to withdraw your consent, please contact us at support@tilefarm.com. Some examples of our legitimate interests and the data being processed include:

  1. Network and information security (password, IP address, Device ID)
  2. Customer Support and fraud prevention (name, email address)
  3. Improving our products and services (hardware information, activity logs)

Where we rely on our legitimate interests to process your personal data, you have the right to object. More information on exercising this right can be found in the Individual Rights section below.
